1. Welcome to StudioMemory
StudioMemory is a private archive app built for artists, creators, and makers to maintain and manage a collection of their creative works on their iPhone, iPad, and Mac. StudioMemory collects no personal data, runs no ads, and requires no account. The collection is locally stored on Apple devices, and Apple’s iCloud service syncs the collection across your devices.
2. Creating and Managing Your Collection
To start creating your collection, add a new work with photos and details. Each work is automatically assigned a unique Work ID (e.g. ABC123XY), which can be used to quickly locate and identify the work in your collection.
On Mac: Press Command + N or select File > New Work.
On iPhone/iPad: Tap the + (Plus) icon at the top of your collection.
Give your work a title and a creation date. You can also mark the work as a “favorite” (using the Heart icon) to keep it accessible in filtered views.
- Status: You can include information about the status of each work (i.e., Available, Sold, Not for Sale).
- Changes: You can change the information about each work at any time.
- Searching: You can search the collection using full text search, and you can narrow a search using filters.
- Sorting: You can organize your collection by Newest, Oldest, or Title (A-Z / Z-A) to easily browse large collections.
- Batch Actions: You can use the “Select” button to manage multiple works simultaneously.
3. The Photo Gallery
Each work has a photo gallery which you can manage using various tools.
- Limits: Each work can have up to six photos. Photos can be included when a work is added to your collection or afterwards.
- Adding Photos: On iPhone/iPad, add photos via your camera, library, or files. On Mac, select photos from your library or files, or drag and drop photos from other apps, Finder, or Desktop.
- Primary Photo: The first photo in the gallery acts as the thumbnail for the main browser.
- Changes: Use a manage photos feature to add, change, or reorder the photos on the gallery.
- Full Screen: Tap any photo to view it in higher resolution.
- Save to Photos: StudioMemory optimizes each photo for performance. An optional setting allows photos taken within StudioMemory to be saved in their original format to your device’s Photo library.
4. Tracking Status
Each work has a “status” - Available, Sold, Not for Sale.
An optional setting shows the status of each work in your collection.
The status of a work determines the kinds of information you can record about the work. For example, setting a work as “Sold” unlocks additional fields (e.g., sold date and purchaser details).
You can change the status of a work at any time.
5. Working Faster with QuickDetails™
QuickDetails™ is an optional, easy-to-use way to create reusable and editable prompts for adding repetitive details to notes about a work.
- Turn it On/Off: An optional setting displays or hides the QuickDetails icons in the notes fields.
- How to Use: Tap the QuickDetails icon in any notes field to display a QuickDetails sheet with prompts for you to add details to insert into the notes.
- Edit Prompts: You can edit (e.g., add, change, reorder, and delete) the prompts in each QuickDetails sheet.
- Persistence: Once you create a prompt in a QuickDetails sheet, it will remain in the sheet until you change or delete the prompt.
6. Printing and Exporting
Your data belongs to you, and StudioMemory provides tools to print and share it.
- PDFs: You can generate a printable and shareable PDF of one or more works with all details and photos.
- Labels: You can generate roll labels for your works. See Printing Labels.
- Export Data: You can export a Zip file of one or more works, containing a JSON file and all photos in jpeg format for each work.
7. Printing Labels
Each label can show the work’s title, its Work ID, and a QR code. Scanning the QR code with your device’s camera opens that work directly in StudioMemory.
Setting Up
Before printing labels for the first time — and again whenever you change label rolls or printers — set up and verify:
- Set the Label Size: In Settings > Labels, select the size that matches your label roll.
- Print a Test Label: Use “Print test label” in Settings > Labels, then check three things on the printed label: the border reaches all four edges, the triangle points at the label’s top edge, and the printed dimensions match your roll.
- Calibrate if Needed: If the border sits slightly off-centre, use the Calibration controls in Settings > Labels to nudge the printed content, then print another test label to confirm.
The Print Dialog
The label print dialog has no paper size control. The label size you choose in Settings is the paper size, so the printed content and the label always match.
Troubleshooting
If labels print rotated, scaled, or off-centre, check that the label size in Settings matches your roll, then print a test label.
8. Customizing Your Experience
You can use the Settings menu to customize your use of StudioMemory:
- Favorites: You can choose to display a “heart” badge on works that are “favorites”.
- Status Badges: You can choose to display status badges on your works.
- Status Bar: You can choose to display the total number of works and a last synced timestamp. The status bar also shows sync errors, so turning it off hides those notices.
- Currency: You can select the default currency for pricing your works.
- Save Photos: You can select whether new photos taken from within StudioMemory are also saved to your Photos library.
- App Haptics: You can select whether StudioMemory gives haptic feedback.
- QuickDetails: You can choose to display QuickDetails prompts to insert details into notes.
- Labels: You can select your measurement units (inches or millimetres), select the roll label size, choose whether roll labels include the work Title and QR Code, calibrate label alignment, and print a test label. See Printing Labels.
9. iCloud Sync
StudioMemory syncs your collection through your private Apple iCloud account. It works automatically whenever your device is signed in to iCloud and online — there is nothing to set up.
- Turning Sync Off: iCloud sync is controlled in your device’s Settings, not in StudioMemory. Turning it off leaves your collection on your device; changes stop syncing to your other devices.
- Last Synced: The status bar timestamp shows when changes in StudioMemory on your device last reached iCloud.
- Photos: Photos sync separately from work details and may appear shortly after them.
- If iCloud Isn’t Reachable: If your device can't connect to iCloud, changes in StudioMemory will be stored on the device and sync using iCloud the next time you open StudioMemory with iCloud connection.
10. Your Data
- Storage: StudioMemory stores your data on your devices and using your private Apple iCloud account (if enabled).
- The 30-Day Rule: When you move a work to the Trash, it will be stored for 30 days before automatic deletion.
- Archive and Restore: You can create a complete archive of your collection and later restore it. The Archive/Restore buttons are in Settings.
11. Subscriptions and Limits
- Subscriptions: A free subscription allows up to 30 works; a paid subscription allows up to 2,500 works on all of your devices.
- New Devices: Use the “Restore Purchases” button to reactivate your paid subscription.
- Change in Subscription Status: If your paid subscription expires, you can keep using StudioMemory to view, manage, and export your existing collection, but you cannot add new works.
- iCloud Storage & Sync: iCloud storage and sync capacity is determined by your personal Apple iCloud subscription and available space.
